Inviting your team and managing access

You invite teammates from the Team page, and you decide what part of the organization each person sees. This article covers inviting, changing someone's access, fixing an invite that didn't land, and removing someone.
Before you start
You need to be an admin. If you open Settings, then Team and don't see an Invite a teammate box, you're not. Ask an admin in your organization to invite people, or to make you an admin. Who can see what explains what an admin is.
You can only invite people into your own area. If your area is one branch, you can invite people to that branch and its locations, not to the whole organization. See Who can see what for how areas work.
Invite someone
- Go to Settings, then Team.
- Under Invite a teammate, type their email address.
- Under They get access to, pick a level: Everything, Branches or Locations. Then tick the ones they should see.
- Click Send invite.
Picking Locations and ticking two of them looks like this:
You pick one level per person. Someone can have several branches, or several locations, but not a branch plus a location. If they need both, give them the level that covers everything they need.
Movo emails them a link. It comes from no-reply@trymovo.ai unless your organization sends Movo's emails from its own address. The link works for 14 days and can only be used once.
New people are not admins. If this person should be able to invite and manage teammates too, turn on the switch under Permissions before you send. You can also flip it later from their row.
What the person you invited does
- They open the link in the email.
- They create an account with the same email address the invite went to. They can use Google, or an email and password.
- Movo asks for their mobile number so it can text them when a family needs them. They can skip this.
- They land in Movo, seeing their area.
Until they accept, they show as Pending on the Team page, and Movo doesn't contact them. Anything that would have gone to them goes to the next person instead.
Change what someone sees, or make them an admin
Everyone has a row on the Team page, grouped by their area. The row shows whether they're an Admin or a Member.
To make someone an admin, turn on the switch at the end of their row (ringed below). Turn it off to take it away.
To change what they see, click the three dots at the end of their row (ringed below), then Change access.
Pick the new level and tick the places, the same way as when inviting, then click Save access. You can only move them within your own area.
You can't change your own access, and the last admin can't be switched off.
The invite didn't arrive, or it expired
Find the invite on the Team page. Click Pending or Expired above the list (ringed below) to see just those, or type the email address into the search box.
Then click the three dots at the end of the invite's row (ringed below). You get Resend invite, Copy invite link and Revoke invite.
- It didn't arrive. Ask them to check spam for an email from Movo. Click Resend invite to send it again. The link stays the same, so an email they find later still works. Or click Copy invite link and send it to them yourself.
- It expired. Invites last 14 days. Click Resend invite. This makes a new link, and the old one stops working.
- Wrong email address. Click Revoke invite, then invite the right address.
Several at once. The bar under the filters counts invites that have expired, and invites nobody has opened in over a week. Click Resend there (ringed below) to deal with them in one go. It sends up to 50 at a time, so click it again if there were more.
A couple of things people hit when they click the link:
- Wrong email for this invite. They signed in with a different email than the one you invited. They need to use the invited address.
- Already a member. They already belong to another organization on Movo. One account can only be in one organization.
Remove someone
Click the three dots on their row, then Remove from team (ringed below).
It takes effect straight away. Their past replies stay in the conversations. Anything they were working on goes back to the queue for someone else.
If they're coming back later, it's easier to leave them in place.
